Creating a PostalSoft File

You may create a PostalSoft file using the Student Data Warehouse.K The file is a comma-delimited list of addresses. Follow the directions here to create a PostalSOft file. These instructions are only for creating the file, it is assumed that you already know about PostalSoft, and what to do/ with the file once it has been created.

  1. Formulate a query. User whatever qualifications you like.

  2. Important: If you are doing a mailing that must protect confidentiality, You must always qualify the Confidentiality Flag in the Person object to be IS NULL. This will only return students without a confidentiality flag.

  3. Qualify the Mail Addr Nation attribute in the Person object with IS NULL. This will return only U.S. addresses.

  4. Make sure that the following attributes in the Person object are the only attributes selected to return data, and select them in this order:

    • FML name
    • Mail Addr Str 1
    • Mail Addr Str 2
    • Mail Addr City
    • Mail Addr State
    • Mail Addr Zip Code

  5. Submit the query.

  6. After you get the query results, select Results Options from the Results menu.

  7. In the Results Options dialog box, make sure that all of the check boxes (Save Query Name, Save Column Headings, etc.) are not checked. If any of them are checked, click them once to remove the check.

  8. While still in the Results Options dialog box, set the Separators values to:

    • Set Field to a comma (,)
    • Set Record to a carriage return (<CR>) - this is the default
    • Set End of File to nothing (<NONE>)

    Click the OK button.

  9. Select Save Results from the Results menu.

  10. Save the file. For Postalsoft it is good to give it a .PS extension, for example Biology.PS

  11. You are now ready to send the file. Send it just as you are used to sending it.
